Alan Donald Limited is the controller of personal information collected through this website and enquiries about our services. This notice explains that use under UK data protection law.

What we collect and why

  • Enquiries and quotations: your name, email address, optional telephone number and company name, enquiry type and the information you choose to send. We use these details to answer questions and take steps at your request towards a contract. For enquiries on behalf of a business, our lawful basis is our legitimate interest in responding to business requests.
  • Customer records: if you engage us, we use contact, project and correspondence details to carry out our agreement, maintain business records and meet legal obligations.
  • Website security: technical information such as IP address, browser details and security checks helps prevent spam, fraud and misuse. Our lawful basis is our legitimate interest in protecting the website and people using it.

The required enquiry fields allow us to identify and respond to your request. You are not legally obliged to submit an enquiry, but we cannot process the form without those fields. Please avoid sending sensitive personal information.

Who receives your information?

Information is available to the people who need it to deal with your request and trusted providers supporting our website, hosting and email. CP&Co supports this website and currently receives form enquiries at stuart@cpco.design on our behalf. We do not sell your information.

When configured, Postmark delivers enquiry emails and Cloudflare Turnstile checks form submissions for automated abuse. Turnstile receives technical browser and network information. See Postmark’s privacy information and Cloudflare’s Turnstile privacy notice. We may also share information with professional advisers or authorities where necessary to comply with the law or protect legal rights.

International processing

Our email and security providers may process information in the United States and other countries. Where a restricted transfer occurs, appropriate UK safeguards are required, such as an applicable adequacy regulation or approved contractual protections with the UK addendum. Postmark’s data processing agreement describes its transfer arrangements. Contact us to ask about the safeguards relevant to your information.

How long we keep information

We keep enquiry correspondence for as long as needed to respond, follow up a quotation and resolve related queries. If an enquiry becomes a project, relevant correspondence forms part of the customer record. Retention takes account of the duration of our relationship, tax and accounting requirements, applicable legal claim periods and any ongoing dispute. Information that is no longer needed should be securely deleted. Security records are retained only as needed to investigate and prevent abuse. The website does not maintain a separate database of form submissions.

Your rights

Depending on the circumstances, you can ask for access to your information, correction, deletion, restricted processing or a portable copy. Contact us using the details above. We may need to verify your identity and will normally respond within one month, subject to any extension permitted by law.

Your right to object

You can object to processing based on legitimate interests because of your particular situation. If we ever use your information for direct marketing, you can object to that use at any time. Where processing relies on consent, you can withdraw it at any time without affecting earlier lawful processing.

This website does not carry out profiling or automated decisions with legal or similarly significant effects. Automated security checks can reject a form submission; you can contact us by phone or email instead.

Cookies and concerns

Our Cookie Policy explains necessary website storage and how to manage your choice. Please contact us if you have a privacy concern. You also have the right to complain to the Information Commissioner’s Office, telephone 0303 123 1113.
